Not necessarily, unless you have a "formula". For example, my theory is
that at least one out of every four riders who plan to come won't get to
at the last moment. Sounds high, but you'd be surprised. However, I also
believe there are quite a few who actually get to come at the last minute
unexpectedly...if requiring pre-entries doesn't bar them from doing so.
If you take pre-entries, and prepare for that many horses, you'll have
lots of meals left over and too many T-shirts.
We didn't require any sort of pre-entry. I ordered 84 T-shirts and had
82 entries. Beat that. The best estimate for us, rain or shine, has been
"within 10 of how many we had last year". We're lucky, even when we use
a caterer we don't have to give a final count until Fri. night. Left
over T-shirts can be sold or used next year. If we run short we'll
either give them the choice of the cost of the T-shirt rebate or let the
locals wait for the second printing.
The trail's there, the placement awards don't change. The only thing I
ever worry about running short on are vets ( who I prefer not to overwork
or offend) and parking...and if worse comes to worse, endurance riders
are great improvisers.
